Privacy Policy

Effective date: October 23, 2026

NailNote (the "App") is provided by DS Studio LLC ("we", "us", "our"). This Privacy Policy explains what information the App handles and how we treat it. By using the App, you agree to this policy.

Information the App handles

NailNote is a tool for nail salons. When salon staff use the App, the following information may be stored:

  • Account information - email address, login credentials, your name, and your role in each salon (Owner, Manager, Tech, Front desk, or Viewer).
  • Customer records entered by the salon - customer names, phone numbers, preferences, notes, and visit history.
  • Service details - polish colors, color recipes, set details, and inventory data.
  • Photos - images of finished nails that staff attach to a visit or recipe.
  • Team notes and activity - handoff notes written for other techs, and a log of who added, changed, deleted, or restored records in the salon.
  • Team chat - messages, photos, and records (customers, visits, colors, recipes) that staff share in the salon's chat. Only members of a conversation can read it.
  • Device token for notifications - if you allow notifications, an identifier for your device so the App can alert you to new chat messages.
  • Feedback - messages and screenshots you choose to send us from the App.

This information is entered by the salon and is used only to operate the App's features for that salon.

Inside a salon, the Owner and Managers can see the email address of each member and of anyone asking to join, so they can recognize who they approve and help staff sign in. Other staff cannot see each other's email addresses.

Camera and photo access

The App requests access to your camera and photo library only to let you take or attach photos of nails to a visit or recipe. Photos are not used for any other purpose.

Notifications

Notifications are optional and you can turn them off at any time in your device settings. When a new chat message arrives, we send the sender's name, the conversation name, and the first part of the message through Expo to Apple (or Google on Android), which deliver it to your device. Your device token is removed when you sign out or delete your account.

Subscriptions

NailNote Pro is an optional subscription. Payments are handled by Apple through your Apple ID (or by Google Play on Android). We never receive your card or payment details.

To confirm whether a salon has Pro, we use RevenueCat, which receives your purchase history (plan, dates, renewal status) and your NailNote user ID.

You can cancel at any time in your Apple ID subscription settings. Deleting your NailNote account does not cancel a subscription, so cancel it there first.

Analytics and crash reports

To keep the App working and to learn which features salons use, the App sends limited technical data:

  • Crash and performance reports via Sentry - error details, device model, operating system, app version, and your user ID and salon ID.
  • Usage analytics via PostHog (US cloud) - actions such as "visit saved" or "recipe approved", with your user ID, role, and salon ID.

These reports never include customer names, phone numbers, notes, photos, or the content of chat messages. They are not used for advertising and are not combined with data from other companies to track you.

Who processes your information

We use the following service providers, each acting on our behalf as a data processor:

  • Supabase - authentication, database, and file storage.
  • RevenueCat and Apple - subscription purchases and status.
  • Sentry - crash and performance reports.
  • PostHog - usage analytics.
  • Expo, Apple, and Google - delivery of push notifications.
  • Our email delivery provider - sign-up, password reset, and account emails.

Each salon's data is isolated and only accessible to that salon's authorized users.

What we do not do

  • We do not sell your information.
  • We do not use third-party advertising or ad-tracking SDKs.
  • We do not share your data except with the service providers listed above, as needed to provide the App, or as required by law.

Data retention and deletion

Salon data is retained while the account is active. Deleted customers, visits, recipes, and colors go to the salon's Trash first and are permanently removed, photos included, after 30 days. The activity log is kept for 180 days and can be viewed by the salon's Owner and Managers.

Chat messages are kept while the account is active for salons with NailNote Pro. In salons without Pro, messages older than 90 days are permanently deleted together with the photos sent in them. A deleted message loses its text and attachments right away. Messages you sent stay in the salon's chat under your name after you leave the salon or delete your account, like the visits you recorded.

You can delete your account and associated data directly in the App (Profile → Delete Account), or contact us at the email below.

Children's privacy

The App is intended for business use by salons and is not directed to children under 13.

Changes to this policy

We may update this policy from time to time. Material changes will be reflected by the effective date above.
